Account Information
I can not login to my account:
Be sure you are using the correct login and password to access your account. Be sure you are using the full email address or username on the account. If you do not know the password you can click on Password Support on your left hand menu to request it be sent to you.

How do I change the Email/Information on my account: To change that information you will need to create HELP/Support ticket and make the request. Be sure to include all the information you want changed and you must be logged in to the account. If you are not logged in to the account the information will not be changed.

Can I use the same login for this account as I do for another account: No, the system only allows one account per email/login so each account will have to have its own login.

How do I change my Password: To change your password Click Here to go to Password Support.

Can I use the same password for all my accounts: Yes, you can use the same or different passwords on each of your accounts. But you will have to remember what account each password goes to. The reason you would not want to use the same password is if someone figured out one of them then they would know all of them.

Can I give someone else login access to my account: Yes you can. You can either give them your login (not recomended) or you can set them up with an account under User Setup on your left hand menu. User Setup allows you to grant them access as well as change their login information if they are no longer going to be assisting you.

Downloading Info
What is downloading:
Downloading is taking information from under your account and saving it to your computer.

Who can download information from my account: Only those with a login to your account can download the data listed under your account.

Who has a login to my account: You, anyone you have given your login to and anyone listed under User Setup on your left hand menu.

Can I get the information from the site after it has been loaded: Yes, you have two option to download the information from the site.  You can click on "Download Data" or "Individual Search" on your left hand menu.

What is the difference between the two download options: Download Data will allow you to download a format that matches the brief format under Upload Data so you can make needed changes and upload the information for the next season. Individual Search allows you to create a custom report of the data you would like to see or have on file.

Can I get a customized report of the information: Yes, Click on "Individual Search" on your left hand menu and from there you will be able to enter what information you want to see or download. You will be able to select from any of the information you have entered for your players.

How do I get the report from "Individual Search" to download all at one time: Enter a number in the 'Players Per Page' section that is greater than you have players you have under your account. Otherwise they will be listed on multiple pages and the download only downloads those on the current page.

Uploading Info via Excel
What is Uploading:
Uploading is taking the information from your computer and putting it on the site to allow for registration or other services.

What if I loaded the wrong list, can I undo the import: You can "Undo Imports" within 48 hours of the time it was loaded and as long as those on that import have not been placed on an invoice. Just click on Upload Data on your left hand menu and then click on "Undo Import".

Why are their 2 formats for importing data:
    The 'Brief' format is for loading players and coaches where you do not want to add additional info to the players.
    The 'Extended' version is for those who would like to track data on their players using the site such as shirt sizes. The extra data can be downloaded in Excel when ever needed to create a report.

What does P or C mean: P or C refers to Player or Coach. Put P if the person is a Player or C if they are a Coach, Manager, Team Mom or any other designation besides a Player.

I have ages on my excel file but I can not get the system to accept them: The system only accepts ages: 6U, 8U, 10U, 12U, 14U, 16U and 18U. You will need to use one of these ages for the teams to be able to import them.

What does F or S mean on the import: When uploading the data one of the things the system will need to know is whether the team is a fastpitch(F) or a slowpitch (S) team. Enter the appropriate letter in the column under F or S.

I do not know what my team class is: You can find out what your team class is by contacting your local VTD rep.

What if I do not know what the teams names are going to be: I suggest putting in either the league name or initials for the team name. In some areas you are instructed to enter "Unknown" or "Player Pool" that will work as well but it will not help VTD to find your players if there is an issue they need to help you with. You could be more specific like putting in "GYVTD Spring" or "DVTD First Signup" if you want, the more specific you are the more you will be able to see who is from where.

Picture Questions
How big should pictures be:
Pictures should be as close to 50K as possible. We print the cards using 300dpi printers and the image will be on the cards at about 1.25" x 1.25". Any image that is smaller than this will be stretched to fit the alotted space. This will in turn result in the image becoming distorted/pixelated.

Registration Questions
How do I register my teams on VTD:
Click on "Registration" on your left hand menu to register your teams with the sanction of your choice.

How many Invoices can I create: You can create as many invoices as needed to keep your teams 100% registered with VTD. Note: If you have more than one invoice they will probably ship at separate times.

How do I Find/Delete an Invoice that I have created: To find or delete an invoice you have created, login to your account and then click on Player Registration. From there click on option A.Review,Edit, Delete Old Invoices. This will give you the option to view any invoice you have created. When viewing an invoice that has not been approved or has been declined you will have the ability to Delete the invoice and unlock the Individuals on it by click on "Click Here" at the top of the invoice.

What if one of my invoices is incomplete or incorrect: If one of your invoices is not correct you can delete it by clicking on Player Registration option A then click on the date of the invoice. Click on "Click Here" at the top to delete the invoice and create a new invoice with the corrections. If the invoice does not have the option to "Click Here" then VTD has already approved it and it has been locked.

How Do I change the information that is coming up for my players: To make changes to a person's information click on "Edit" for that person. Note: Certain information is locked once that person is registered with VTD. If you are not able to make the change you want to the player then the most likely cause is that information has been locked since that person is registered. If your players are registered for the current season then you will need to contact your VTD rep to have the change made on locked info. If your player is not currently registered then you can go to Edit Players/Staff and make the change to that individual by clicking on Edit for them.

How do I register more players since I have already created 1 invoice: To register any new players you will follow the same steps to register new people as you did to register the rest of the team. The only difference will be the number of individuals on the invoice. You can have as many invoices as needed.

Where do I add board members: Click on Edit My Info on your left hand menu and you will have the option to "Edit Board Members". If it says "(required)" then this is a step you must do in order to register with VTD.

What if the cards I recieved have the wrong information on them: Check the information online for the person. If the info entered online matches what is on the card you will need to contact your VTD Rep to have the information corrected. if the information does not match please let us know via HELP/Support.

How do I change the default address for the invoice: Click on HELP/Support on your left hand menu and create a ticket. Please enter the address you would like it changed to in the ticket so we can update it. Also, if you have any pending invoices please let us know if you would like those updated as well.

Team Information
How do I add a Team under my Account:
To add a team under your account click on Edit Players/My Teams  then click on "Add a New Team for Registration Purposes". Fill out the info on the team and the system will create and add the team to your account.

How Do I change a Teams Classification: If you want to raise it you can go to Edit Players/My Teams  then click on "Team" and make the change. Be sure to click on 'Submit' to save the changes. Classification is something VTD will have to change if you are wanting to lower a Teams class.  If the team is not listed under your account you will have to contact VTD to have the change made.

How do I change the AGE Classification on a Team account: To have the AGE changed on a team account you can click on Edit Players/My Teams on your left hand menu and update your account. If you need to lower your team AGE you will need to contact VTD via "HELP/Support" on your left hand menu to request the change be made. Note: You will have to be logged in to make this request.

What if I do not have a website: That is ok, it is only there if you would like to have a link to your website on your page. The leagues website can be entered to increase the number of pages that link to your site.

Can I let a coach login to their team: Yes, you can by clicking on Manage Logins on your left hand menu and then click on 'Release One Of the Accounts Associated With Me'. This will allow you to release the login and password for that account which you can then give to the coach.

What if there is a team listed under my account that is not in my league/association: You can click on Edit Players/My Teams on your left hand menu and then click on "Drop" to release the team from usder your association.

Tournaments
How do I sign up for tournaments on VTD:
To sign up for tournaments on VTD you will need to sign-in to a team account. Once you are signed in to your team account click on Tournament SignUp on your left hand menu. From there you will be able to search for tournaments and sign up for them. To sign in as a one of your teams, click on Edit Players/My Teams and then click on "Login" for the team you would like to login as or you can click on Manage Logins and click on the account you would like to login as. Once you login as a team your left hand menu will update and Tournaments will change to Tournament SignUp.

How do I update the Checks Payable information: Login to your account and click on Edit My Info on your left hand menu.

How do I remove a tournament I have listed in error: To remove an event you have listed in error you can simply change the dates the event is listed to take place to a previous year and it will disappear.

Do I have to show the brackets while I am trying to schedule the event: No, under the option Work A Tourney you will have the option to "Hide" brackets and pool games until you are ready to display them on the site.

Why doesn't my event post to the site immediately when submitted: Your VTD will have to approve your event before it shows on the Tournaments list. They will be sent an email within 48 hours to notify them of the request, if you would like to notify them sooner you will need to contact them.

I do not see the location I use for my tournaments in the list, what can I do: You can click on My Fields on your left hand menu to list your complex. If you have different rules/regulations for each event you can list the location multiple times just be sure to name them something different each time so you can easily tell them apart. I have a team that does not have internet access or can not find my event, what can I do: If you have a team that is unable to sign up for your event you can click on Add A Team on your left hand menu and list the team. Click Here for Instructions

What is a Saction Sheet: In some areas VTD requires all events to post sanction sheets up at the events so the teams know the event is sanctioned VTD.
